Positioning

Occupello's governance tools take an association's hardest recurring job — reaching quorum on a decision — and turn it into a link. Tokenised ballots, one vote per owner, live tallies, meeting scheduling polls, and an auditable record for the minutes.

Who this is for

HOA and condo managers and self-managed boards of 40–800 units that currently run votes on paper, by proxy, or by an email thread nobody can audit afterwards.

The offer

Governance tools unlock on any workspace this quarter with no change to your per-door rate for the remainder of your current term. Run your first ballot with our team on the call.

Pain → gain

What property managers live with, and what changes

The pain today

What changes

  • Quorum fails, the meeting is rescheduled, and the whole cycle repeats a month later.

Owners vote from a link on their phone, over a window you set. Quorum is a live number, not a Saturday gamble.

  • Proxy forms arrive folded, unsigned, or after the deadline.

Each owner gets a single-use tokenised ballot, so eligibility and one-vote-per-owner are enforced by the system.

  • Counting is manual and the result can be challenged.

Tallies run live and the audit record shows who was eligible, who voted, and when — without showing how.

  • Scheduling the meeting itself takes twenty emails.

Send a scheduling poll, pick the winning slot, and the announcement goes out from the same place.

Five-touch drip

The emails, in full

  1. Day 0

Governance tools are on your workspace

Ballots, scheduling polls, ARC requests, announcements.

Your workspace now includes the governance bundle. **Ballots** — send a tokenised vote to every eligible owner and watch quorum climb live. **Scheduling polls** — find the meeting time without the email thread. **ARC requests** — architectural review with photos, comments, and a decision record. **Announcements** — one message to every owner, with read tracking. Start with something small and uncontroversial. A landscaping vendor vote is a perfect first ballot.

    Create your first ballot

  2. Day 2

Why your last vote missed quorum

It usually isn't apathy. It's Saturday.

Participation collapses when voting requires being somewhere at a specific time. With a voting window of five to seven days and two reminders, associations we work with see participation roughly triple against paper proxy. Same owners, same issue, different friction. Set the window, send the ballot, and let the reminders do the chasing.

    See participation benchmarks

  3. Day 6

The audit record that ends the challenge

Who was eligible, who participated, and when.

Every ballot produces a record you can attach to the minutes: the eligibility list at the moment of sending, participation timestamps, the aggregate tally, and any paper returns entered by staff. What it deliberately does not store is which owner chose which option. Secrecy and auditability at the same time — that's the whole design.

  4. Day 11

Run the meeting, not the logistics

Scheduling polls and announcements in the same place.

Before the ballot there's a meeting, and before the meeting there are twenty emails about when to hold it. Send a scheduling poll with three or four candidate slots. Owners pick, you close the poll, and the announcement with the final time goes out from the same screen — no re-typing, no missed owner.

    Send a scheduling poll

  5. Day 17

Your first quarter of governance, reviewed

Participation, quorum rate, and what to change.

Here's your quarter: ballots sent, participation rate, quorum achieved, and average time to reach it. The two levers that move participation most are the length of the voting window and whether the second reminder goes out on a weekday evening. If your numbers are soft, change those before you change the question. Want a hand designing the next ballot? Reply and we'll draft it with you.

What we're testing

  • won · Owner participation rate

A seven-day voting window with two reminders beats a five-day window with one on participation.

    52.0%

    B — 7 days, 2 reminders

    68.0%

    Significance: 98% (placeholder)

  • running · Email → upgrade

Leading the upgrade email with the audit record rather than participation converts more managers than boards.

    B — Audit-record-led
